Admissions, attendance, fees, exams, transport and staff payroll for State Board, Matriculation and CBSE schools. Messages to parents go out in Tamil or English from our own DLT-registered SMS gateway and WhatsApp Business API platform, and the system is set up and supported by our team in Sulur.
AvanceZone builds school ERP software for schools in Coimbatore and across Tamil Nadu. It covers admissions, attendance, fees, exams and report cards, timetables, transport and staff payroll, with logins for staff and parents. Absences, fee dues and results reach parents the same day by SMS in Tamil or English, or on WhatsApp, through messaging infrastructure we run ourselves. Your existing formats are configured rather than replaced. Our reference build is a school and college management portal for a multi-institution education group, and each school is quoted after we visit.
School software sold to a national market tends to assume one board, one report card and English-speaking parents. A Matriculation school, a State Board school and a CBSE school on the same road keep different records, grade differently and print different report cards, and many parents here prefer Tamil.
Our school portal project started from a familiar picture: attendance in one place, marks in another, fees in a third, and parents always a step behind. The education group wanted one system, and it wanted parents kept informed without staff phoning each family.
Most parents will not log into a portal every day, but they will read a text. Once attendance, fees and results trigger a message automatically, the parent knows what the school knows on the same day. The software screens matter less than that timing.
Each module can go live on its own. We usually suggest starting with attendance and fees, where parent messages matter most.
Enquiries from the website, phone and walk-ins, application forms, interaction schedules, document checklists and seats by class, including RTE quota seats. Parents get an SMS at each step.
Teachers mark attendance on a phone. After a cut-off time, each absent student's parent gets one SMS or WhatsApp message in their language. Staff attendance can come from your biometric device's export.
Term-wise fee structures, concessions, receipts and online payment links through a payment gateway, with reminders you schedule before, on and after the due date.
Mark entry by subject teacher, grades by your board and management rules, and report cards printed in your format or shared as PDFs.
Class and teacher timetables with clash checks, and substitutions for absent teachers with a message to the substitute.
Routes, stops and bus fees per student. Delay and route-change alerts to parents on that route, and "bus approaching" alerts if your buses have GPS trackers with an API.
Staff records, leave, salary structures, PF and ESI deductions where they apply, and payslips, linked to staff attendance for loss of pay.
A parent login or app for attendance, marks, fees and circulars, plus WhatsApp for parents who will not install another app. Replies reach the school office.
Class-wise or school-wide circulars, homework and holiday notices in Tamil or English.
SMS reaches every parent's phone, including basic phones, with nothing to install. WhatsApp carries longer text, images and PDFs and lets parents reply, but only reaches parents who use it and have opted in. We send on WhatsApp where a parent has opted in and fall back to SMS when a message is not delivered.
Two cost facts shape the setup. Tamil SMS is sent in Unicode, where one SMS holds 70 characters (67 per part in longer messages) against 160 for English, so a Tamil absence alert is usually two SMS. On WhatsApp, absence and fee alerts are utility messages, about ₹0.115 each in India as of October 2026, plus 18% GST and the platform fee. Since 1 October 2026, replies to parents inside WhatsApp's 24-hour window are free only for the first 1,000 a month per number, then charged at the utility rate.
| Channel | Per student | 1,000 students |
|---|---|---|
| English SMS (1 part) | ₹3.06 | ₹3,060 |
| Tamil SMS (2 parts) | ₹6.12 | ₹6,120 |
| WhatsApp utility | ≈ ₹2.31 incl. GST | ≈ ₹2,310 + platform fee |
Assumptions, not averages: 6 fee reminders, 3 result alerts and 8 absence alerts per student per year (17 messages). SMS at ₹0.18 on the 10,000 pack; on the 50,000 pack at ₹0.14 the SMS figures fall by about a fifth. WhatsApp at ≈ ₹0.115 plus 18% GST.
Every SMS a school sends has to match a template registered on DLT under the school's entity and sender ID. Since TRAI's direction of 18 November 2025, each variable has to be tagged with its type at registration, and tag names differ by operator: Airtel uses {#numeric#}, {#alphanumeric#} and {#url#}; Vi and BSNL use {#num#}, {#alp#} and {#urg#}. Typed variables generally hold up to 40 characters, and URLs up to 120, against 30 for the old {#var#}.
Dear Parent, {#alphanumeric#} of class {#alphanumeric#} was marked absent today. Please contact the class teacher if this is not correct. - ABC School
Dear Parent, fee of Rs.{#num#} for {#alp#} is due. Pay online at {#urg#} or at the school office. - ABC School
அன்புள்ள பெற்றோரே, {#alp#} (வகுப்பு {#alp#}) இன்று பள்ளிக்கு வரவில்லை. - ABC பள்ளி
"ABC School" stands in for your school's name. Filled with a sample name and class, the English absence alert is 128 characters (one SMS) and the Tamil one is 78 Unicode characters (two SMS).
The full tag list and how to convert old templates are in our DLT variable tagging guide, and the registration steps in our DLT registration guide. We register the templates for you during setup.
A school ERP holds children's names, photos, addresses, health notes and marks. The Digital Personal Data Protection Act, 2023 requires verifiable consent from a parent or lawful guardian before a child's personal data is processed. The software is built so the school can show it handles that properly:
This describes how the software is built, not legal advice. Your school's policies and advisers decide the specifics.
An education group running several institutions asked us to replace registers, spreadsheets and paper with one system. We built role-based access for staff, students and parents. Teachers mark attendance and enter results from any device, administrators track fees, dues and reminders, and parents log in to see how their child is doing.
Parents also get an SMS the moment something matters: an absence, a result, a fee due date. The group reported less paperwork and fewer fee defaults.

We plan go-live around the school calendar: before a term starts, not in the middle of exams.
We collect your fee structure, report card, admission form and timetable, and meet the office staff who will use the system most.
Modules, students, campuses and messaging volumes, with a price fixed in writing.
Entity, sender ID and templates registered on DLT; Tamil and English WhatsApp templates approved by Meta.
Student, parent and staff records from your spreadsheets, checked class by class, with parent numbers verified.
One class or section uses it first, so formats and message timings are right before every class joins.
Training for teachers and office staff in Tamil or English, then support from our Sulur office.
Tell us your board, number of students and campuses, and when your next term starts. We will reply the same working day and arrange a visit.
